To make a PDF out of a Word document:
1. Save your document normally as a Word document. If something goes wrong, you don't want to lose your work.
2. Open (if you closed it after saving) the document you want to save as a PDF.
3. Go to File --> Print
4. Select "Generic PostScript Printer" from the "Name" dropdown box.
5. Check the "Print to file" box.
6. Click "Options" (A new window will open up.).
7. Under "Printing Options" select (check):
In the Advanced Tab: Allow A4/Letter paper resizing
In the Display Tab: Print Background Colors and Images
In the Advanced Tab: Print PostScript over text
8. In the Display tab select (check):
Print Drawings Created in Word
********Note: If you have special formatting, you may need to select other options within those catigories. If you aren't sure, ask someone at the ECC helpdesk. You may have try this several times before it comes out right. Just remember: DON'T submit anything to your instructor until you're sure it's right.********
9. Press "OK"; Select where you want to save the file; Give the file a name in the following format (INCLUDE THE QUOTATION MARKS): "filename.ps", where filename is the name you want your file to have when you submit it. In the file type drop down box, choose "all files", then click save.
10. Go to Start --> Programs --> SSH --> Secure Shell Client.
11. Once the SSH client opens, hit "enter" and log in using Hostname "u-10" and your username. Once you're logged in, click the yellow folder (New File Transfer Window) in the SSH window. This opens a new window.
12. Wait until both sides of Transfer window show files, and then, in the left window, browse to where your filename.ps file is.
13. Click on the filename.ps file (in the left window) and drag it to an empty space in the right window.
14. Go to the previous window (SSH window) and run the following command (NOT including the quotation marks): "ps2pdf filename.ps".
15. Once the command completes (you get a prompt that looks exactly like the one where you typed the command), go back to your Transfer window and refresh the right side directory (click the circular green arrows). This sometimes takes a minute to complete.
16. As soon as you can see your files again, find a file called filename.pdf (Notice that the extension is "pdf" instead of "ps" this time. The filename.ps file can now be removed if you want -- click on it and hit delete.), click it (filename.pdf) and drag it to a blank space on the left side panel.
17. You can now close (use the X) the Transfer window and log out of the SSH window (type "exit"). Then, go to the directory where you just put the filename.pdf file and try to open the file. Take a good look at the file (probably good to open the Word version of it to compare) and make sure everything is the same (includeing formatting). If everything is good, you can now send your filename.pdf in. If things don't look right, you should go back to step 7 and try to select more options. It might take a few tries to get it right. And, as always, if you have questions about or problems with this process, please see one of the helpdesk staff.
